Team roles and invitations

Owner, Admin and Member roles on an ISMS Copilot team, the Primary owner, and how to invite people by email or with an invite link.

Every person on a team has a role. Roles decide who can invite people, change roles, remove members and change team settings. Manage all of this in Settings → Team.

If you do not have a team yet, start with Use Teams and shared workspaces.

The roles

  • Primary owner: the team's billing owner (the person whose plan the team uses). Shown with a crown next to their email. Nobody else can change their role or remove them.
  • Owner: a co-owner. Can do everything the Primary owner can, except billing, connectors and changing or removing the Primary owner (see the table).
  • Admin: manages people. Can invite Members, remove Members and see usage by member.
  • Member: uses the team and its shared workspaces.

Co-owners cannot manage connectors yet. For now, only the Primary owner can connect or disconnect them.

Change a role

Owners (including the Primary owner) change roles in Settings → Team:

  1. Find the person in Members.
  2. Pick Member, Admin or Owner from the menu next to their email.

The Primary owner's role cannot be changed. Moving the Primary owner role to someone else is not available on these teams.

Remove someone

In Settings → Team → Members, click the remove icon (Remove from team) next to the person. Owners can remove anyone except the Primary owner. Admins can remove Members only. To remove yourself, use Leave Team instead.

When someone leaves or is removed, the workspaces they shared with the team stop being shared.

Invite people by email

Owners and Admins can invite people.

  1. Open Settings → Team.
  2. Under Invite Member, enter one or more email addresses, separated by commas or new lines. You can also click Upload CSV. Up to 25 addresses at a time.
  3. Owners can choose a role in Invite as (Member, Admin or Owner). Admins invite Members only.
  4. Click Invite, then Send Invitation.

Each person gets an email with a link. If some addresses were not sent, a message tells you why for each one: already a member, already invited, invitation limit reached, team is full, or not a valid email.

Manage pending invitations

Pending invitations are listed under Pending Invitations with their expiry date.

  • Invitations expire after 14 days.
  • Resend invitation sends a new email and restarts the 14 days. The link in the earlier email stops working. You can resend an invitation once every 5 minutes, up to 20 emails in total for one invitation (the first email included). You can also resend an expired invitation if the team still has room.
  • Revoke invitation cancels it. The link stops working.

Admins can resend and revoke Member invitations. Owners can manage all invitations.

An invite link lets anyone who has it join your team as a Member, without an email invitation. Owners and Admins manage it.

  1. Open Settings → Team → Invite link.
  2. Click Create link.
  3. Click Copy and share it. For security, the link is shown only once.

The link expires after 14 days. Settings shows until when it is active and how many times it was used.

  • Create a new link replaces it: the previous link stops working.
  • Turn off link stops it right away.

People who join with a link always join as Members. Change their role afterwards if needed.

Accept an invitation

The invitation page shows who invited you and the team name, for example "Alex invited you to join Acme on ISMS Copilot." It also shows your role (if it is not Member) and when the invitation expires. Click Accept invitation or Decline.

  • If you are not signed in, ISMS Copilot asks you to sign up or sign in first, then brings you back.
  • An email invitation works only for the email address it was sent to.
  • You can be on one team at a time. If you are already in a team, leave it first.

See Accept a Teams invitation for the full walkthrough.

Team size and invitation limits

  • A team can have up to 50 people, counting members and pending invitations.
  • At most 25 pending invitations at a time.
  • At most 25 new invitations per 24 hours.
  • Joining with an invite link needs a free place in the team.

To free a place, revoke a pending invitation or remove a member.
