Manage Teams billing and usage
Use this guide if you own a team subscription in ISMS Copilot. One plan covers the whole team: teammates are free up to 50, and chat, uploads, and Agent Tasks share one usage pool.
Use this guide if you own a team subscription in ISMS Copilot. One plan covers the whole team: you pay for the plan once, teammates are free (up to 50 members), and everyone draws from a shared usage pool at that plan's limits.

How Teams billing works
When you create a team, ISMS Copilot links the subscription to the organization behind that team. The team owner manages billing. The subscription is billed once, at the plan's price, regardless of how many members the team has.
Teammates do not add a seat charge. Invite and remove members freely, up to 50 members per team; your invoice does not change when membership changes.
How the shared usage pool works
Chat, uploads, and Agent Tasks share one pool at the plan's limits:
- Chat tokens draw from the shared pool in the same 4-hour windows a solo plan uses.
- Uploads draw from a shared monthly allowance at the plan's limit.
- Agent Tasks draw from shared monthly agent credits at the plan's limit.
The owner can watch the pool in Settings: the usage pane shows tokens, uploads, and Agent credits, so the whole team can see what is left.
If the team reaches a limit, generation pauses until the window resets or the owner upgrades the plan. There is no overflow billing for teams: the pause is the hard stop, and the next 4-hour window starts fresh.
Who manages the billing portal
The team owner opens Manage Subscription for the team subscription. Team members may have access through the team, but they do not manage the owner's billing relationship.

If the team subscription lapses
If the team subscription is canceled or payment fails, the team switches to a read-only state: members can read existing work, and the owner keeps their own usage. Members see a banner explaining the state until the owner restores the subscription.
Members with a personal paid plan
A member can join a team even if they already have a paid personal subscription. Team usage draws from the shared pool, not from the member's personal plan.
Joining a team does not automatically cancel an existing personal subscription.
How plan access works for members
Members get feature access through the team's subscription even if their own personal plan is free. If a team subscription is no longer active, ISMS Copilot falls back to the member's personal subscription status.
Common billing questions
Why did my invoice change?
For team subscriptions, the plan is billed once for the whole team. If you previously paid per seat, the extra seat lines come off your next invoice; usage pooling starts at the beginning of the next 4-hour window after the change reaches your team. We do not issue mid-cycle credits.
Why can a member still use paid features on a free personal plan?
That member receives entitlement through the team's active subscription, and their usage draws from the shared pool.
Who should cancel the subscription?
The team owner should manage the team subscription. Members should only cancel their own personal subscriptions when those are separate and no longer needed.
